Facilities - General Information
We thank you for your interest in our facilities and hope that
the following information will help you in planning your special
day at the Medicine Hat Exhibition & Stampede.
Deposit: All confirmed booking require the
full deposit amount which is due upon signing of the contract.
There is no refund if cancellation is made less than 6 months
prior.
Accounting: 3 weeks prior to your event, we
require an estimated head count. A bill for 80% estimated cost
of your function is due 14 days prior to your event. Your finalized
bill will be completed the day after your function, with the
remaining balance due no later than one week after your event.
Contracts: All contracts must be signed and
returned with your deposit to the Medicine Hat Exhibition & Stampede
upon confirmation of booking.
Payment: Payments for catering and rental are to be paid at
the Medicine Hat Exhibition & Stampede office.
Room Rental Hours: Music and dances must end
at 1:00am and the room must be vacated by 2:00am unless other
arrangements have been made with Shooting Star Events or the
Medicine Hat Exhibition
& Stampede.
Catering: All catering on the Stampede grounds is provided
by Shooting Star Events (Stan Sakamoto). A 10% discount of the
food total will be deducted from your rental. This is not applicable
to the Carriage House where you have the option of using Shooting
Star Events or supplying your own food and beverages.
Bar Options: Host bar, cash bar and corkage.
Gratuity: A 12% gratuity is applicable on all food and beverages.
GST: The 5% GST is applicable on all charges.

Decorations: All decorating is the lessee's
responsibility. All decorations must be removed upon conclusion
of the function unless otherwise authorized by the Medicine Hat
Exhibition &
Stampede. Tacks, nails, push pins, staples and pack tape are
not allowed. Light weight decorations for the ceiling may be
fastened to t-bar clips with fishing line. Candles in containers
and centerpieces are permitted on tables. Pictures on walls are
not to be removed without approval from the Medicine Hat Exhibition
and Stampede or Shooting Star Events.
All decorating is to take place the morning of the function
unless other arrangements have been made with the Medicine Hat
Exhibition & Stampede. We request that no confetti or rice be
used on Stampede property. Any damages or repairs will be at
the expense of the lessee.
Smoking: No person shall smoke within 3 metres
of an entrance or exit to a building or within 3 metres of a
ventilation system air intake for a building. No person shall
smoke in a regulated area within the grounds where minors (persons
under the age of 18) are present. Please obey the 'No Smoking'
signs.
Miscellaneous: All food and beverage service
is provided by the Medicine Hat Exhibition and Stampede Concession
or by Shooting Star Events Catering. No outside food is allowed.
This policy is not applicable to the Carriage House & Park
where you have the option of using Shooting Star Events Catering
or supplying your own food and beverages. If you are supplying
your own alcohol, you must provide a liquor permit to the Stampede
office prior to your event.
The Medicine Hat Exhibition & Stampede grounds are directly
located on the City of Medicine Hat transit route. Also, special
areas are designed for taxi use.
Insurance: We highly recommend that the lessee carry a minimum
of $1,000,000.00 public liability insurance for your event. Please
contact your insurance broker for details.
Audio/Visual Aids & Equipment: We have available a full range
of audio/video aids and equipment for use/rent. Any other audio/visual
equipment can be ordered from Al's Audio with advanced notice.
