Sales & Event Coordinator

Position Holder:

Reports to: Jim MacArthur, General Manager

The Sales and Events Coordinator will lead all facility rental activities, and be the main contact person for all customer requests and concerns. This person will represent the Medicine Hat Exhibition & Stampede in a professional manner, be a good communicator with both clients and internal departments and provide positive atmosphere and experience for clients. This person will strive to improve the quality of service and facility presentation by meeting or exceeding the standards set forth by the Stampede.

Duties

Attendance –  Customer first approach – variable hours

Start 10 am to 4:30 regular day

Expect Friday evening and some weekday evenings

Expect frequent Saturday attendance for an average of 4 hours

 

  • Provide; excellent customer service; expertise and recommendations to clients regarding their event
  • Respond to customer requests for the use of Stampede facilities by providing available dates/rental prices/catering and any other information that may help make their event successful
  • Meet with potential customers regarding facilities, which include tours of all Stampede venues, and presentation of available services
  • Determine pricing and negotiate contracts
  • Complete all contacts and amendments for events
  • Liaise with internal departments and external suppliers to facilitate the coordination of all aspects of event production
  • Provide on-site management and coordination
  • Follow up on all events with clients
  • Enter all events into EventPro Software including Stampede Events
  • Enter all billing into EventPro Software and pass onto Accounting to input and mail out to the customer
  • Monthly calendar to all departments showing upcoming events
  • Recommend purchases of equipment and materials to ensure facility readiness
  • Contribute to the production of Medicine Hat Exhibition & Stampede in-house events department
